Help & guides

How Loena thinks and how to use it: simple enough for a first-time committee, serious enough for a professional project manager. Pick a topic, or read top to bottom in ten minutes.

Getting started

Simple → Advance

My Work · Tasks · Dashboard

+ Portfolio · Tools · Manage

Sign up at app.loena.co, create a workspace, and you land on My Work. The sidebar has two faces, switched at its bottom:

  • Simple (default): only My Work, Tasks, and Dashboard, enough for a team using Loena as a shared task board.
  • Advance: opens Portfolio (Objectives, Projects, Products, Docs), Tools (AI Assistant), and Manage (Reports, Organization, Activity, Forms, Automations).

Loena is an app: install it from the Play Store or via “Add to home screen”. Dark/light theme follows your device by default (Settings → Appearance to pin one).

The mental model: four entities, four lifespans

  • Objective: permanent strategic umbrella with OKRs (e.g. “Community & Outreach”).
  • Project: a time-boxed effort with its own workflow (e.g. “Ramadan Charity 2026”).
  • Product: an asset maintained across years (e.g. a POS app, a handbook).
  • Task: the unit of work; always lives in exactly one project.

The flow: an objective holds key results → projects chase key results → projects do tasks → tasks (and projects) contribute to products.

My Work & Tasks

My Work opens in Agenda mode: your tasks ordered by urgency (No date folded on top, then Overdue, Today, This Week, Later). The circle on the left completes a task in one tap; clicking the title opens a peek first.

  • Capture ideas fast: the “+ Quick task…” field saves into your private 📥 Inbox (a hidden personal project that costs no plan quota). “Tidy Inbox” later moves captures into real projects.
  • The floating + button (bottom-right, every page) creates a quick Task, Note, or Recording. Context-aware: on a project/product/task page it offers to link there automatically.
  • Ctrl/⌘+K searches everything: projects, products, tasks, notes, and docs.
  • Big tasks split into sub-tasks (one level). A child wears a “↳ parent” chip, the parent counts “2/3 sub”, and progress rolls up automatically.
  • The cross-project board condenses every workflow into three columns (Not started · In progress · Done), with each card wearing its real status as a chip. Filter to one project to get its full lanes back.
  • Every drag works on touch: board cards, timeline bars, dashboard widgets all have a visible ⠿ handle.

Objectives, Projects & OKR

Objective - Key Result
🎯 Jamaah kajian rutintarget 500
▲ check-in: 390·Eksekusi 3 project: 72% task selesai
Baksos Ramadhan 202680%
Kajian Akbar Muharram64%

Each Objective carries an owner, a target date, and measurable Key Results (“Attendance, target 500”). Checking in is just typing the latest number, and every check-in is kept as history for periodic reports.

  • Projects declare which KR they chase. On the Projects page, objectives show a shelf per key result; dragging a project onto a 🎯 shelf makes it a contributor.
  • Two numbers side by side: the KR measures impact (manual check-ins), the rollup measures execution (automatic from tasks).
  • Budget vs spend: set a budget in Edit project, log expenses on the project page. The meter turns yellow past 80% and red when over: a living audit trail for your financial report.
  • Every project has a PIC (person in charge): a member or any free-typed name, shown under the project title and in the Projects table.
  • Recurring programs: Duplicate births next year's edition with the workflow, product links, and task skeleton. Statuses reset, history stays with the old cycle.
  • Reports (owner/admin) opens with the Periodic Report: pick Week/Month/Quarter/Year and read each KR's movement plus execution per objective. The ✨ Report button drafts an accountability-report-shaped doc with AI.

2 project menyumbang · 3 task

A product has no tasks of its own; it is contributed to. Its task list is every task from the projects building it, plus tasks tagged to it directly.

  • Project ↔ product is many-to-many: one program can produce an app + a book + merchandise, and one product can be built by many programs over its life.
  • Link them from either side: the Add/Edit product dialog, the product page dropdown, or the project's Products tab (“Link Product” picks an existing one with search).
  • The product page shows a swimlane per contributing project above the task list. One glance tells you who is building what.

Docs, Notes & Recordings

One library, three shelves (Docs | Notes | Record) in the Docs menu, and the same panel appears mini on every project, product, and task page. Everything is born anywhere, relates to its birthplace, and gathers in the library.

  • Docs: shared markdown pages (SOPs, guides, long minutes), shelved per program/project/product/task.
  • Notes: sticky-card masonry board: colors, pins, and origin chips that follow project↔product↔task relations.
  • Record: a meeting recorder that lives above its own list. One button that never moves: New recording → Start (participant consent) → Finish & Save. Live waveform, Pause/Resume, and timestamped live notes.
  • Recordings are stored on your device only, never uploaded. Optionally pick a folder once and every finished recording auto-copies there as a real file.
  • ✨ AI Transcription listens to the audio once (never stored on a server) and writes a Summary, timestamped Transcript, Decisions, and Action Items. Your live notes anchor it. Counts toward the plan's monthly AI quota.

Forms & Requests

Forms - Requests

Forms

Request: tambah fitur presensi

via Form Aspirasi · dari Rina

Create a public form (Manage → Forms) and share its link. Anyone can submit without an account. Each submission lands as a request you review: Accept turns it into a task in the project you choose; Reject archives it.

  • The form's creator gets a notification for every new submission, and the Forms item in the sidebar wears a badge counting pending requests.
  • Request inboxes also appear on project and product pages, filtered to that context.
  • Use it for feature requests, incident reports, HR intake: anything the outside world needs to hand your team.

Team, workspace & plans

Organization - Free plan

Downgrade tidak pernah menghapus apa pun.

  • Invite members from the Workspace page with single-use links. Owners/admins see everything; members see projects they were given access to (assigning a task grants access automatically).
  • Domain auto-invite: set your organization's email domain and anyone registering with it is offered to join. Joining is always their choice. Public email domains (gmail etc.) are rejected.
  • Plans are per organization: Free (10 members, 5 active projects, 3 AI reports/mo, 2 workspaces), Pro (50/50/50/5), Business (unlimited). Limits apply only when creating something new. A downgrade never deletes anything.
  • The Organization page shows your plan, usage meters, upgrade buttons, and a billing history with printable receipts for your financial report.
  • Near renewal the owner is reminded automatically (D-7, D-3, D-1, in-app + email), and past due there is a 7-day grace period at full plan.

Import from Notion or Excel

Import ulang memperbarui, bukan menggandakan.

Projects → Import brings your history in: straight from Notion (integration token, one click; page content and to-do blocks become real checklists) or from any Excel/CSV file. The first row becomes headers and columns are matched to Loena fields, processed in your browser.

  • Re-importing updates instead of duplicating: tasks are recognized by their Notion id.
  • Imported the wrong thing? “Undo this import” removes the whole batch.

Field mode (offline)

Terkirim otomatis, berurutan, begitu sinyal kembali.

Lose the connection and Loena still opens: pages and data you have already seen are kept on your device and shown as they were, under an amber banner that says plainly you are reading the last saved copy. Fresh data flows back the moment the network returns.

  • Five field actions also write offline: quick task capture, one-tap complete, task status and edits, checklist items, and notes. They queue on your device (the banner counts what waits) and send themselves, in order, once you are back online; a green banner confirms what landed.
  • Offline data is stored per workspace, never crosses organizations, and is wiped on logout.
  • Deliberately online-only: sign-in, admin, billing, and everything outside those five actions (e.g. budget expenses, workflow edits).
